ADMINISTRATIVE ASSISTANT

Job Description

Steady Flux Technologies is a small research and development company that is seeking a part time administrative assistant to help aid in our day to day business activities. This is a part time, flexible work schedule, position at approximately 20 hours per week that has the possibility to turn into a full time position. The ideal candidate will be responsible for handling business activities such as reception services, bookkeeping, invoicing, and minimal office maintenance. Willing to train, however some experience or a business background is required.

Administrative Services:

  • Provide consistent and reliable front desk coverage during assigned shifts.

  • Greet and direct visitors and callers, including responding to basic email, in person and phone inquiries about Steady Flux’s work and referring other inquiries appropriately.

  • Assist staff within the Seattle office with general operations and administrative support needs as needed.

  • Schedule and coordinate logistics for special events and/or meetings.

  • Aid in cleaning the office approximately 2-4 hours per week

Bookkeeping & finance

The Administrative Assistant will work closely with the executive team to handle basic finances including:

  • Processing expenses and time tracking and reporting in Quickbooks

  • File state and local taxes online

  • Invoice customers and follow up on late payments

  • Enter invoices from vendorsExecutive support

The candidate will work closely with the executive staff to aid in day to day business activities including

  • Managing calendars and meetings

  • Read and understand customer contracts

  • Manage subcontractors and vendors

  • Be a point of contact to aid in customer and office personnel logistics

RESPONSIBILITIES AND SCOPE

Level of Responsibility:

This is an entry-level position and duties are performed under general supervision and established guidelines.

  • Does not supervise any staff; may help plan and direct the work of volunteers or interns.

  • Serve as a team member for assigned projects.

  • Maintain limited financial responsibility, including purchasing and maintaining expense records and a general understanding of how to file company taxes.

Work Environment & Schedule:

  • Flexible work environment and hours. General hours of operation are 8:00 AM - 5:00 PM Monday through Friday.

MINIMUM QUALIFICATIONS

  • High school diploma. Preference given to any candidate with an associates degree or higher.

  • Experience providing administrative support, including some or all of the following: phones/customer service, mail distribution, office equipment maintenance, coordinating travel arrangements and meetings, or organizing files.

  • Experience working and communicating with a wide range of people.

  • Strong organizational skills

  • Experience writing, editing, and proofreading written materials.

  • Experience with Microsoft Office software.

DESIRED QUALIFICATIONS

  • Quickbooks or other financial software experience

  • Familiarity with standard business communications

  • Comfortable with working in an independent environment with little outside input at times from management
